1. Introduction
EasyIDP is a Swiss web application that helps football coaches structure and track the individual development plans (IDPs) of their players. This policy explains which data we process, why, with whom it is shared and what your rights are.
2. Data controller and roles
EasyIDP is operated by Niels Uythoven, Luegislandstrasse 337, 8051 Zurich, Switzerland (contact: support@easyidp.ch).
- For the coach's account data (identity, credentials, billing), EasyIDP is the data controller.
- For the player data entered by the coach (profiles, assessments), the coach — or their club — is the data controller and EasyIDP acts as a data processor, solely on behalf of the coach (see Annex A — Data Processing Agreement).
3. Data processed
- Coach accounts: first name, last name, e-mail, login credentials (hashed password), language, technical logs.
- Player profiles (entered by the coach): first name, last name, date of birth, category/team, access key, objectives.
- Assessments: self-assessments and coach assessments, comments, scores, trends.
- Billing: subscription and payment data processed by Stripe; card numbers are not stored by EasyIDP.
4. Purposes and legal bases
- Providing and managing individual development plans — performance of the service.
- Managing accounts, access and the subscription — performance of the contract.
- AI-assisted analysis of assessments — consent (and parental consent for minors).
- Security and improvement of the service — legitimate interest.
- Legal obligations — in particular accounting retention.
Minors: player profiles are created by the coach. The coach is responsible for obtaining the consent of the holder of parental authority before entering any data concerning a minor. EasyIDP provides an information template intended for parents.
5. AI-assisted analysis
The export function may generate an automated analysis of assessments. The assessment data, together with a limited internal identifier, is transmitted to an AI provider (OpenRouter, a model from the GPT-4o family), whose servers are located outside Switzerland (in particular in the United States). The analysis is indicative, reviewed by the coach; it does not constitute an automated decision producing a legal effect. This transfer is governed by appropriate safeguards and/or by your consent. EasyIDP remains fully usable without this function.
6. Recipients and processors
We do not sell any data. Your data may be disclosed to the following processors, strictly to provide the service:
- Infomaniak Network SA — hosting and database (Switzerland).
- Stripe — payments and subscriptions.
- OpenRouter / AI model provider — analysis of assessments (processing outside Switzerland).
Disclosure to authorities remains possible where required by law. No advertising cookies or third-party analytics tracking are used.
7. Retention
- Account and player data: as long as the account is active, then deletion within a reasonable period or upon request.
- Billing and accounting: 10 years (Swiss law).
- Backups: renewed by rotation.
8. Transfer abroad
Data is hosted in Switzerland. Certain processing operations — in particular AI analysis — involve a transfer outside Switzerland, governed by appropriate safeguards and/or by your explicit consent.
9. Your rights
You have the rights of access, rectification, deletion, export (portability), objection, restriction and withdrawal of consent. To exercise them: support@easyidp.ch. You may lodge a complaint with the FDPIC (PFPDT), www.edoeb.admin.ch; persons located in the EU may contact their national data protection authority.
10. Security
Hosting in Switzerland, encryption of communications (TLS/SSL), hashing of passwords, access control and backups. In the event of a breach presenting a risk, the data subjects and the competent authorities are informed.
11. Cookies
We use only cookies necessary for operation and security (session, securing of Stripe payments). No advertising cookies or third-party analytics tracking.
12. Changes
Any significant change is announced on the platform, together with a new publication date.
